These Terms & Conditions apply to all bookings, trips, memberships, events, website use, participant forms, waivers, activities, equipment use, passenger transport, communications, photography, videography and services provided by The Campfire Crew Pty Ltd.

1. WHO WE ARE

The Campfire Crew Pty Ltd, trading as The Campfire Crew, is an Australian outdoor adventure, 4WD camping and social travel company.

We organise commercial camping and 4WD-based experiences across eastern Australia, including Queensland and New South Wales. Our trips may include mainland camping weekends, private-property camping trips, special-edition inland trips, tag-along style 4WD tours, island camping experiences, social outdoor events and associated photography/videography.

In these Terms:

“The Campfire Crew”, “we”, “us” and “our” means The Campfire Crew Pty Ltd, its directors, staff, contractors, guides, agents and representatives.

“You”, “your”, “participant”, “guest”, “customer” and “member” means any person who books, purchases, attends, joins, uses equipment, participates in an activity, travels with us, attends an event or otherwise uses our services.

2. ACCEPTANCE OF THESE TERMS

By making a booking, joining a membership, paying a deposit or trip fee, attending a trip, signing a participant form, using our equipment, entering our vehicles, joining our group chat, accessing our website or participating in any Campfire Crew activity, you agree to these Terms.

You must not book or attend a trip if you do not agree with these Terms.

If you book on behalf of another person, you confirm that you have authority to accept these Terms on their behalf and that you will provide them with a copy of these Terms before the trip.

3. OUR SERVICES

The Campfire Crew provides organised outdoor adventure and camping experiences. Depending on the trip, our services may include:

They are not formal survival courses, 4WD driver-training courses, water-sports lessons, lifeguarded swimming programs, guided snorkelling programs, medical services, fitness programs or professional outdoor education courses unless expressly stated in writing for a specific trip.

4. TYPES OF TRIPS

4.1 Mainland camping trips

Mainland trips may include overnight camping at private properties, campsites, 4WD parks, farms, ranches, lakeside camps, mountain areas, inland tracks or other special locations.

Some mainland trips may be one-off or special-edition trips. These locations may not be available again, and routes, inclusions and facilities may vary between trips.

Mainland trips may include camping, campfires where permitted, games, swimming, kayaking, hiking, use of supplied equipment, group meals prepared by participants, social activities, professional media capture and optional third-party activities.

4.2 Island tag-along and 4WD camping tours

Island trips may include tag-along style 4WD camping tours to places such as Mulgumpin / Moreton Island and Minjerribah / North Stradbroke Island, subject to permits, approvals, campsite bookings, vehicle access permits, ferry availability, weather, tides, track conditions, legal requirements and operational readiness.

Island trips may include travel on approved public roads, designated 4WD tracks, authorised beach-driving areas, townships, visitor areas and booked public camping zones. We do not seek or permit access to closed tracks, restricted areas, dunes, vegetated areas, private areas, culturally sensitive areas or unauthorised campsites.

Island tag-along operations may be subject to additional rules, including vehicle access permits, Commercial Activity Permit conditions, Queensland Parks and Wildlife Service requirements, Traditional Owner or joint-management requirements, ferry-operator rules, campground rules, passenger transport obligations and other applicable laws.

If any permit condition, ranger instruction, land manager direction, ferry operator instruction, police direction, emergency service direction or legal requirement conflicts with these Terms, the stricter or more specific requirement applies.

5. ELIGIBILITY

Unless we expressly approve otherwise in writing:

We may refuse a booking or remove a participant from a trip if we reasonably believe the participant is unsuitable, unsafe, medically unfit, intoxicated, disruptive, aggressive, dishonest, unwilling to follow instructions or likely to create risk for themselves, others, property, wildlife, cultural heritage or the environment.

6. NO MINORS

Our standard trips are for adults only. Minors are not permitted unless we expressly advertise a specific family or minor-inclusive event and provide separate written conditions for that event.

Prices may vary between trips depending on destination, duration, transport, ferry or barge costs, campsite fees, equipment needs, fuel, permits, food, staffing, insurance, special activities, platform fees and seasonal costs.

8. MEMBERSHIPS

Memberships are optional. You do not need to be a member to book standard public trips unless a trip is specifically advertised as member-only.

Membership benefits may change over time. Membership does not guarantee a seat on any specific trip, event or activity.

Membership fees are generally non-refundable except where required by law or expressly stated in writing.

9. DRIVER MEMBERSHIP AND BRING-YOUR-OWN-4WD TRIPS

Driver Membership may allow approved members to bring their own 4WD vehicle to selected mainland trips only.

Driver Membership does not automatically apply to island trips, permit-controlled trips, national park/recreation area trips, private-property trips or any location where customer-owned vehicles are not permitted.

For any bring-your-own-vehicle trip:

10. PASSENGER TRANSPORT

Some trips include transport from a stated pickup location, such as Roma Street Station in Brisbane, to the trip location and back.

Transport may be provided in company vehicles, director-owned vehicles, hired vehicles, third-party vehicles or other suitable vehicles, depending on the trip.

You must:

We are not responsible for costs, missed transport or missed trip components if you arrive late or fail to attend the pickup point.

11. 4WD, CONVOY AND TAG-ALONG TOUR RULES

4WD travel can involve rough tracks, sand, mud, water crossings, beach driving, corrugations, steep terrain, bogging, recovery, tide constraints, changing weather, wildlife, remote areas and increased risk of injury or property damage.

You must follow all guide, driver and staff instructions.

On tag-along or convoy-style trips:

We may cancel, reroute, delay or shorten any driving activity if conditions are unsuitable.

12. PARTICIPANT DRIVING OF COMPANY VEHICLES

Participants may sometimes be offered the opportunity to drive a Campfire Crew vehicle. This is not guaranteed and is entirely at our discretion.

You may only drive a company vehicle if:

For island tag-along or regulated trips, additional requirements may apply, including that client-drivers must be at least 21 years old, hold an open driver licence, pass a client-driver safety briefing assessment and comply with all Queensland road rules including alcohol and drug-driving laws.

We may refuse or withdraw driving privileges at any time and for any reason related to safety, licensing, conduct, route conditions, insurance, permit conditions or operational control.

You may be responsible for damage, fines, penalties, recovery costs, insurance excesses, cleaning costs or third-party claims arising from negligent, reckless, unlawful, intoxicated, dishonest or unauthorised driving.

13. CAMPING AND ACCOMMODATION

Trips may involve camping in tents, swags, rooftop tents, shared camping setups, vehicle-based camping, private-property campsites, public campgrounds or booked camping zones.

You acknowledge that camping may involve:

You must respect campsite boundaries, property rules, campground rules, quiet hours, hygiene expectations, wildlife controls and staff instructions.

We may allocate sleeping arrangements and campsite layout at our discretion.

14. FOOD AND MEALS

Unless stated otherwise, The Campfire Crew supplies food ingredients and basic camp cooking equipment for participants to prepare and cook their own meals. We do not generally operate as a restaurant, café, caterer or food-service venue. Staff do not ordinarily cook, plate or serve meals for participants unless expressly stated for a specific trip and lawful to do so.

Participants are responsible for:

We may provide raw ingredients, refrigerated items, packaged food, snacks, drinks, camp kitchen equipment, fridges, coolers, utensils and cooking facilities. Outdoor food storage and preparation carries inherent risks, including contamination, temperature variation and allergen exposure.

You must notify us of any allergies, dietary restrictions or medical food requirements before the trip. We cannot guarantee an allergen-free environment.

If you have a severe food allergy, anaphylaxis risk, complex dietary requirement or condition that may be triggered by shared food environments, you should obtain medical advice before booking and may need to bring your own food.

15. OPTIONAL ACTIVITIES AND SELF-DIRECTED PARTICIPATION

Our trips may make locations, equipment or opportunities available for optional activities. These may include:

Unless expressly stated otherwise, these activities are optional and self-directed. You choose whether to participate.

You must not participate in an activity unless you are physically capable, sober, confident, appropriately clothed/equipped and willing to accept the inherent risks.

We may restrict, cancel or stop any activity if we consider it unsafe, unlawful, environmentally inappropriate, culturally inappropriate, contrary to site rules or inconsistent with permit conditions.

16. WATER ACTIVITIES

Some trips may include access to beaches, rivers, lakes, dams, creeks, pools, lagoons or other water locations. We may provide or enable use of equipment such as kayaks, snorkelling gear, water-polo equipment or flotation-related items.

Unless expressly stated otherwise:

You must not enter water if you cannot swim, are intoxicated, are injured, are medically unfit, are tired, are uncomfortable, are unsure of conditions or have been instructed not to enter.

You must assess your own ability and follow all signs, flags, warnings, local rules, staff directions and safety briefings.

Water risks include drowning, currents, tides, waves, submerged objects, marine animals, cold water, poor visibility, slips, falls, cuts, sun exposure and delayed emergency response.

17. THIRD-PARTY ACTIVITIES AND OPTIONAL EXTRAS

Some trips may include access to optional third-party activities, such as paragliding, hang gliding, paid tours, equipment hire, cafés, restaurants, pubs, park attractions or other activities operated by independent providers.

Unless expressly stated otherwise, third-party activities are not included in the trip price.

Third-party activities are subject to the provider’s own availability, pricing, terms, waivers, safety rules, insurance, cancellation policy and eligibility requirements.

We do not control third-party providers and are not responsible for their acts, omissions, advice, equipment, safety systems, delays, cancellations, injuries, losses or service quality.

If you choose to participate in a third-party activity, you do so under your separate arrangement with that provider.

18. ALCOHOL AND DRUGS

We do not sell or supply alcohol.

Participants may bring their own alcohol only where lawful and permitted by the trip location, campsite, property owner, land manager or permit conditions.

Alcohol rules:

Illegal drugs are strictly prohibited.

You must not attend a trip under the influence of illegal drugs or any substance that impairs safety, judgment or behaviour.

If we believe you are intoxicated, affected by drugs, unsafe or unable to follow instructions, we may remove you from activities, refuse transport, remove driving privileges, contact emergency services, arrange alternative transport at your cost or remove you from the trip without refund.

19. SMOKING AND VAPING

Smoking and vaping are only permitted where lawful and expressly allowed by the campsite, property owner, land manager and staff.

You must not smoke or vape:

All cigarette butts, vape waste and related rubbish must be disposed of responsibly and packed out where required.

20. CAMPFIRES AND FIRE SAFETY

Campfires may be part of some trips but are never guaranteed.

Campfires will only occur where:

You must not light, move, feed, enlarge or interfere with a fire without staff permission.

You must not collect firewood unless expressly permitted. Where required, firewood must be purchased from approved sources or the property manager.

We may cancel campfires at any time.

21. ENVIRONMENTAL RESPONSIBILITY

You must respect the environment at all times.

We aim to leave campsites and stop locations cleaner than we found them. Participants may be asked to assist with rubbish sweeps, campsite pack-down and waste checks.

22. CULTURAL HERITAGE AND RESPECTFUL CONDUCT

Some trips may operate on or near land and waters of cultural significance.

You must comply with all cultural heritage, Traditional Owner, land manager, ranger and site instructions.

You must not:

23. PARTICIPANT CONDUCT

You must behave respectfully toward staff, participants, property owners, local communities, rangers, Traditional Owners, other visitors and the public.

You must not engage in:

We may remove you from a trip or activity if your conduct creates risk, discomfort, disruption or legal exposure. If you are removed for misconduct, you are responsible for your own return transport and costs, and no refund will be provided except where required by law.

24. HEALTH, MEDICAL DISCLOSURE AND FIRST AID

You must disclose relevant medical conditions, injuries, allergies, medications, disabilities, mental health considerations, dietary risks, emergency contacts and other information that may affect your safety or participation.

You are responsible for bringing your own personal medication, including asthma inhalers, EpiPens, prescription medication, allergy medication and any personal medical equipment you require.

We may carry first aid kits, snakebite kits, emergency communication equipment and other safety equipment appropriate to the trip. We may also identify local AED locations or carry an AED where required or practicable.

Our staff may provide first aid within their training and competence. We are not a medical service.

In a medical emergency, you authorise us to:

You are responsible for costs associated with ambulance, rescue, evacuation, medical care, hospital care, repatriation, accommodation delays or altered transport, except where the law requires otherwise.

25. PERSONAL BELONGINGS

You are responsible for your own belongings.

We are not responsible for lost, stolen, damaged, wet, sandy, dirty or misplaced personal items except where caused by our negligence and where liability cannot be excluded by law.

You should not bring valuable or fragile items unless necessary.

You should bring weather-appropriate clothing, toiletries, personal medication, towel, swimwear, footwear, phone charger, power bank and any personal comfort items recommended in the trip packing list.

26. EQUIPMENT PROVIDED BY US

We may provide camping equipment, cooking equipment, kayaks, snorkelling gear, games, hammocks, lighting, fridges, tables, chairs, swags, tents, rooftop tents, projector equipment, recovery equipment or other trip equipment.

You must use equipment only as instructed and only for its intended purpose.

You must not use equipment if you are unsure how to use it, intoxicated, medically unfit or instructed not to use it.

You may be responsible for replacement, repair, cleaning or recovery costs if equipment is lost, damaged, misused or not returned due to your negligence, recklessness, intoxication or failure to follow instructions.

27. PHOTOGRAPHY, VIDEOGRAPHY AND MEDIA

Photography and videography are part of The Campfire Crew experience. We may capture photos, videos, drone footage, audio, social media content, website content and promotional material during trips.

By attending a trip, you acknowledge that media may be captured.

We will use a media consent and opt-out process where reasonably practicable. If you do not want to be identifiable in promotional content, you must notify us before the trip and remind staff during the trip where necessary.

Where you provide consent, you grant us permission to use images, video or audio of you for:

We will not knowingly film or photograph you in private situations, medical situations, toilets, changing areas or other inappropriate contexts.

Drone use is subject to law, safety, weather, land manager approval, privacy, cultural sensitivity and operational judgment.

28. PRIVACY AND PERSONAL INFORMATION

We collect personal information that is reasonably necessary to manage bookings, payments, safety, transport, insurance, emergency response, trip communications, media consent, memberships and customer service.

You consent to us sharing necessary information with staff, emergency services, insurers, booking platforms, payment processors, land managers, transport providers, accommodation providers or legal advisers where reasonably required for the trip, safety, emergency response, compliance or administration.

29. ITINERARY CHANGES

All itineraries are examples only.

We may change, delay, shorten, replace or cancel any itinerary, activity, route, campsite, stop, vehicle arrangement, meal plan, timing or inclusion due to:

You are not entitled to a refund merely because the itinerary changes, unless required by law or unless the change amounts to a cancellation or major failure under applicable consumer law.

30. CANCELLATIONS BY PARTICIPANTS

Unless the specific trip page states a different cancellation policy, our standard cancellation policy is:

No-shows, late arrivals and missed departures are treated as cancellations within 0 to 6 days.

We may offer a transfer or credit at our discretion, but this is not guaranteed.

Membership fees are non-refundable except where required by law.

31. CANCELLATIONS OR POSTPONEMENTS BY US

We may cancel, postpone or reschedule a trip due to:

32. MINIMUM NUMBERS

If minimum numbers are not met, we may cancel, postpone or reschedule the trip.

If this occurs, we will notify you as soon as reasonably practicable and offer a transfer, credit or refund of the trip fee paid to us.

33. WEATHER, FORCE MAJEURE AND EVENTS OUTSIDE OUR CONTROL

Outdoor trips are affected by weather and conditions.

We are not responsible for failure or delay caused by events beyond our reasonable control, including:

34. AUSTRALIAN CONSUMER LAW

Nothing in these Terms excludes, restricts or modifies any consumer guarantee, right or remedy that cannot lawfully be excluded, restricted or modified under the Australian Consumer Law or other applicable legislation.

Our goods and services come with guarantees that cannot be excluded under the Australian Consumer Law.

Where permitted by law, our liability may be limited to resupplying the services, paying the cost of resupplying the services, replacing goods or paying the cost of replacing goods.

35. RECREATIONAL ACTIVITIES AND RISK WARNING

Our trips may involve recreational activities that carry inherent risks.

36. LIABILITY

To the maximum extent permitted by law, we are not liable for loss, damage, injury, delay, expense or inconvenience arising from:

38. INSURANCE, HEALTH INSURANCE AND TRAVEL INSURANCE

38.1 Our insurance

The Campfire Crew will maintain insurance that we consider appropriate for our business operations, which may include public liability, vehicle, passenger, equipment or other business insurance depending on the activity.

Our insurance protects our business and responds only in accordance with the terms, conditions, limits and exclusions of our policies. Our insurance does not replace your own travel insurance, health insurance, personal accident insurance, ambulance cover, medical cover, vehicle insurance or equipment insurance.

38.2 Mandatory participant insurance

All participants must hold appropriate personal insurance before attending a Campfire Crew trip.

Depending on your residency, visa status and personal circumstances, this may include:

Your insurance must be suitable for the trip you are booking and must cover, or not exclude, the adventure and outdoor activities that are provided, enabled or reasonably expected on that trip. Depending on the trip, this may include: camping, hiking or walking, 4WD travel, off-road travel, beach driving, passenger travel in 4WD vehicles, water activities, swimming, snorkelling, kayaking, campfire-related risks, remote or semi-remote travel, island travel, ferry or barge travel, or optional third-party activities, where relevant.

38.3 Proof of insurance

We may require proof of suitable insurance before the trip date. Proof may include a certificate of insurance, policy schedule, insurer confirmation, overseas visitor health cover confirmation, travel insurance certificate, or other evidence that reasonably satisfies us that you hold suitable cover.

We may ask you to provide evidence that your insurance covers, or does not exclude, the activities relevant to your trip. It is your responsibility to check your policy wording and confirm suitability with your insurer. We are not responsible for interpreting your insurance policy or confirming whether your insurer will accept a claim.

38.4 Failure to provide proof of insurance

If you do not provide proof of suitable insurance by the deadline we specify, we may refuse your participation in the trip.

If you are refused participation because you failed to provide suitable proof of insurance, failed to obtain appropriate insurance, provided false or misleading insurance information, or purchased insurance that does not cover the relevant trip activities, you may not be entitled to a refund. Whether a refund, credit or transfer is offered will depend on the circumstances, including timing, unrecoverable costs, third-party booking terms, whether your place can be filled, and any rights you have under Australian Consumer Law.

38.5 Insurance remains your responsibility

You are responsible for ensuring your insurance is current, valid, paid, suitable for your personal circumstances and adequate for the activities, destinations and risks involved.

You are also responsible for any excess, exclusions, claim limits, declined claims, medical costs, ambulance costs, evacuation costs, rescue costs, additional accommodation, altered travel, lost belongings or other costs not covered by your insurer. We strongly recommend that you obtain written confirmation from your insurer before booking if you are unsure whether your policy covers the trip.

39. COMPLIANCE WITH LAWS AND SITE RULES

You must comply with all applicable laws, including road rules, alcohol laws, drug laws, fire rules, environmental laws, campsite rules, park rules, property rules, ferry rules, permit conditions and staff instructions.

For trips in Queensland, Queensland laws and site rules may apply. For trips in New South Wales, New South Wales laws and site rules may apply. Other state, territory or Commonwealth laws may also apply depending on the trip location.

40. REFUSAL OF SERVICE AND REMOVAL

We may refuse service, cancel your booking, remove you from a trip or deny future bookings if we reasonably believe you:

If you are removed for misconduct or breach of these Terms, you are responsible for your own costs and no refund will be given except where required by law.

41. PAYMENTS, CHARGEBACKS AND DEBT RECOVERY

Payments must be made through our approved payment methods.

If you initiate an unjustified chargeback or payment dispute after receiving services or after a valid cancellation policy applies, we may:

Photos, videos and descriptions are illustrative and may not represent exact conditions on your trip.

If there is inconsistency between a specific trip page and these Terms, the specific trip page applies to the extent of the inconsistency, unless these Terms impose a stricter safety, legal or conduct requirement.

43. GIFT CARDS, CREDITS AND PROMOTIONS

Any gift card, discount code, credit, promotion or special offer is subject to its stated terms.

44. COMPLAINTS AND DISPUTES

If you have a complaint, contact us as soon as possible with:

We will attempt to resolve complaints fairly and within a reasonable time.

Both parties agree to first attempt informal resolution before commencing legal proceedings, except where urgent legal relief is required.

45. GOVERNING LAW

These Terms are governed by the laws of Queensland, Australia.

Where a trip occurs in another state or territory, local laws may also apply to the activity, site, conduct, safety obligations, road rules, environment, transport or third-party services.

Subject to applicable law, the parties submit to the courts of Queensland and any courts entitled to hear appeals from those courts.

46. CHANGES TO THESE TERMS

We may update these Terms at any time.

The version that applies to your booking is the version published or provided at the time of booking, unless a change is required by law, safety, permit conditions, insurance, operational requirements or a regulator.

Continued use of our services after updated Terms are published constitutes acceptance of the updated Terms.
