This Media, Photography & Videography Policy applies to all trips, tours, events, memberships, activities, bookings, group chats, website content, social media content, advertising content and promotional material created by or for The Campfire Crew Pty Ltd, trading as The Campfire Crew.
This Policy should be read together with our Terms & Conditions, Refund Policy and Privacy Policy.
The Campfire Crew creates social 4WD, camping and outdoor adventure experiences. Photography and videography are an important part of our brand and customer experience.

This Policy explains how we capture, use, store and manage images, video, audio and other media involving participants.
In this Policy:
“The Campfire Crew”, “we”, “us” and “our” means The Campfire Crew Pty Ltd, its directors, staff, guides, contractors, photographers, videographers, drone operators, editors, agents and representatives.
“You”, \"your”, “participant”, “guest”, “customer” and “member” means any person who books, attends, participates in, appears in, or is involved in a Campfire Crew trip, event or activity.

Your image, likeness, voice or appearance may be used in edited or unedited form, including in reels, stories, posts, advertisements, website banners, trip pages, newsletters, promotional videos and campaign material.
By booking or attending a Campfire Crew trip, you acknowledge that photography and videography may take place. Before or during the booking process, we may ask you to complete a media consent form or select your media preference from the options below:
You may opt out of identifiable promotional media before a trip by notifying us in writing. You may also remind the photographer, videographer, guide or trip leader during the trip that you have opted out.
If you opt out, we will take reasonable steps to avoid intentionally capturing or publishing identifiable media of you for marketing or advertising. However, because our trips occur in group, outdoor and public environments, we cannot guarantee that you will never appear incidentally in the background of wide-angle, crowd, campsite, convoy, landscape, group or public-location footage.
You may withdraw media consent at any time by contacting us in writing. Withdrawal of consent applies to future use where reasonably practicable. If you withdraw consent, we will take reasonable steps to stop using your identifiable image in future promotional material.
However, withdrawal of consent may not automatically require us to remove, recall or destroy material that has already been lawfully published, printed, shared, or used in an active advertising campaign. We will consider removal requests reasonably and in good faith.
If you provide full media consent, your image, likeness, voice or appearance may be used in paid advertising for The Campfire Crew across various channels. You will not be entitled to payment, royalties, approval rights or compensation for media use unless we agree otherwise in writing.
We may share photos or videos from a trip with participants through a gallery, link, folder, or group chat. Participant galleries are for personal use only. You must not use trip media for commercial purposes, brand partnerships, or unlawful purposes without our written permission.
Participants may take their own photos and videos during trips, provided they do so safely, respectfully and lawfully. You must not photograph, film or record other participants in private, changing, or vulnerable situations.
If you tag us, send us content, or upload content to a Campfire Crew group chat, you grant us a non-exclusive, royalty-free permission to repost, share, edit, use and display that content for promotional purposes, unless you state otherwise in writing.
Drone use is subject to aviation laws, location rules, weather, safety, privacy, cultural heritage considerations, land manager rules, permit conditions and staff judgment. We will not intentionally use drones to film people in private areas, toilets, showers, changing areas, medical situations, or sleeping areas.
The Campfire Crew will not knowingly photograph or film restricted cultural areas, culturally sensitive sites, Traditional Owner areas, private areas, restricted access areas, closed tracks, protected wildlife, injured wildlife, emergency incidents or other sensitive locations. We strictly comply with any instructions given by land managers or rangers.
Media capture must never take priority over safety. Participants must not take risks or ignore safety instructions for a photo or video. We may refuse to capture or publish any content that appears unsafe, unlawful, or inconsistent with our brand safety standards.
We will not intentionally capture or publish media of participants in: toilets, showers, changing areas, medical treatment situations, private sleeping areas without permission, situations involving nudity, or situations of distress, injury, or embarrassment.
The Campfire Crew has creative control over media captured by or for us. We may edit, crop, colour-grade, or format media for branding, advertising, safety, privacy or quality purposes. Participants do not have automatic approval rights over final edits.
Although we may capture professional media, we do not guarantee that every participant will receive individual photos or videos. Media availability depends on external factors like weather, lighting, and technical operations. Failure to receive a particular photo or video does not entitle you to a refund.
We store trip media on secure devices and cloud platforms. We take reasonable steps to protect media from unauthorized access, misuse, loss or disclosure. Media may be retained for as long as required for marketing, historical, operational, or legal purposes.
Identifiable photographs and videos are treated as personal information and handled in accordance with our Privacy Policy. Where media contains sensitive information, we will take additional care and avoid promotional use unless clearly consented.
If media is uploaded to social media or booking platforms, it becomes subject to that platform’s own terms and practices. We are not responsible for how third-party platforms manage content once uploaded.
If you want us to remove or stop using an identifiable image or video of you, contact us in writing with your full name, trip details, and a link or screenshot of the content. We will review the request and respond within a reasonable time.
We may capture or retain media of vehicle damage, equipment damage, injuries, or hazards for safety, incident, legal, insurance or compliance purposes. This type of media is kept strictly for internal records and will not be used for advertising.
We will not knowingly use promotional media that shows excessive intoxication, unsafe alcohol use, unlawful behaviour or anything that may embarrass or unfairly represent a participant.
If you provide a review or testimonial, we may ask for permission to use it for marketing. With your permission, we may publish your first name, general location, and image along with your text.
We may edit testimonials for spelling, grammar, length or clarity, but we will not intentionally change the meaning.
Unless agreed in writing, participants are not entitled to payment, royalties, licence fees, discounts, refunds, approval rights or other compensation for appearing in media captured during a Campfire Crew trip.
If you breach this Policy, we may ask you to delete content, restrict future bookings, cancel your membership, or remove you from an active trip.
We may update this Policy from time to time. The current version will always be available on our website.
